WORD FROM THE ASSOCIATE DIRECTOR - EXTENSION AND APPLIED RESEARCH
The Cooperative Extension Section Extension Committee on Organization and Policy (ECOP) of the Association of Public and Land Grant Universities (APLU) has announced a call for nominations for the "Award for Excellence in Extension," and for the "National Award for Diversity." These awards recognize outstanding contributions by Extension professionals. They are designed to focus national attention on the role of Extension - one that is fundamental to the lifelong education and development of residents in communities around the nation. Selections are made for both regional winners and one national winner. A
monetary stipend goes with these prestigious awards.

You can find information on these and future opportunities for award nominations through the Employee Resources website. At this website, simply click on nominations for awards in the center section of the web page.

Kansas should have at least one nomination for each of these prestigious awards. If you have someone in mind you would like to see nominated, please contact me, dbuchhol@ksu.edu and we can work together to organize the nomination. Deadline for nominations is June 1, 2009. The competition for these awards is strong, and a creative nomination that truly captures the outstanding contributions of the nominee is needed to be competitive.

WEBMAIL USERS MUST EXPORT DATA BEFORE MAY 29TH
K-State will be moving its central e-mail system to K-State Zimbra WebMail starting May 29th. During that weekend, all your e-mail in WebMail will be moved from the current system into K-State Zimbra WebMail. However, any address books, distribution lists, signatures, or filters stored in WebMail WILL NOT be moved automatically to Zimbra WebMail. In addition, once the switch to Zimbra WebMail is made, you will not be able to access any information stored in the old WebMail system. If you are using a local client to check your e-mail, such as Pegasus Mail or Mozilla Thunderbird, this will not affect you.

If you have any address books stored in the current WebMail system, you will need to export them BEFORE May 29th to ensure you will be able to use them in K-State Zimbra WebMail. To export address books from WebMail, click the Address Book button at the top. Next click Import/Export at the top of the Address Book page. On the next page, select "Comma separated values" in the top box, and then the address book you want to export from. Finally, click Export. Your browser will then prompt you to save a file. Select where you want to save the file, then click Save.

Distribution lists cannot be exported from WebMail directly. To save the list, simply open the distribution list from your address book and print the page containing all members of the list. The contacts that are in the group, however, will be exported from your Address Book following the instructions above. You can use those contacts to recreate the group in K-State Zimbra WebMail.

Also, any signatures and filters in WebMail cannot be exported. They must be recreated in K-State Zimbra WebMail. To save that information, you will need to print a copy of the configuration pages for your signatures and filters.

IET Tech Support is currently working on a guide for uploading your address books into Zimbra WebMail that should be ready soon. Once you are moved to the new K-State WebMail, you will be able to import your address books and other information using our guide. Remember that you must export or print all your information from WebMail BEFORE May 29th or you will not have access to this information. NEWS MEDIA SERVICES OPEN HOUSE
News Media Services in the Department of Communications is hosting an open house at 20 McCain Auditorium on Wednesday, May 6, from 9:30 to 11:30 a.m. Stop in and meet the staff, enjoy a refreshment, and learn how the unit can help you. The News Media Services office is located at the east end of McCain Auditorium in the lower level.

 

The unit focuses on providing news coverage and photography services for K-State Research and Extension and the College of Agriculture. During the open house visitors can:

·     see production of Agriculture Today, a daily ag news program broadcast on three commercial radio stations and streamed on the internet;

·     watch new video programs focused on gardening;

·     check out the enhanced news website;

·     see audio slide shows on various topics;

·     discuss news and story ideas with the staff; and

·      see the remodeled offices and photography studio.

During the open house, visitors can have their portrait taken for only $10, a savings of $15. No appointments are necessary.

OFF-CAMPUS MINI-GRANT OPPORTUNITY DUE MAY 6
The Kansas Department of Aging has awarded KSRE a $60K grant. The majority of this money is available to county, district or area units in the form of mini-grants:  $350, $1500 and $2500. The intent of the grant is delivery of general Medicare and SHICK educational messages to the public. No prior SHICK or Medicare knowledge is expected. CONVERSATION ABOUT THE FUTURE OF NCRCRD
All Extension professionals are invited to participate in a web meeting hosted by Dr. Scott Loveridge from 2 p.m. to 3:30 p.m., May 7, 2009. Dr. Loveridge will be leading a conversation on the transition of the North Central Region Center for Rural Development offices from Iowa State University to Michigan State University, and discussing ways the center can better serve our community development efforts.

COMMUNITY TEAMS SOUGHT
Recruitment Assistance Requested: Please share with possible participants in southeast Kansas.

The Community Development Academy (June, 2009) is now seeking applications from community or county teams to participate in a participatory community planning event this summer. City/County government, social services, business, youth, and civic group representatives are encouraged to form a team to participate. The participating community team will learn about and work through the process of organizing stakeholders, assessing the situation, prioritizing for change, and implementing community change efforts. The academy will include a full day dedicated to disaster readiness, response, and recovery.

COMMUNITY COACHING ACADEMY (CCA) TRAINING FOR EXTENSION IN SOUTHEAST KANSAS
How does one mentor and coach a community group through the stages of organizing, planning, implementing, measuring impact, and celebrating community change? The Community Coaching Academy will begin the day before the Community Development Academy mentioned above and continue through the afternoon following.

The CCA will equip Extension coaches to effectively coach community teams through the process of organizing for community readiness and action. Studies are showing that building social and political capital can build the resiliency and sustainability of the community. Coaches have an eye for collaborative opportunities, and can guide community decision-makers to consider short-term implications and long-term sustainability. This workshop will prepare you to effectively play the role of mentor/coach to community planning and development teams.

PRIDE PROGRAM COMMUNITY DEVELOPMENT FOCUS GROUPS SCHEDULED
The Kansas PRIDE Program will be holding focus groups for Kansas PRIDE Community leaders and local K-State Research and Extension Agents on the following dates:

May 18 - 10:00 a.m. - in Stockton;
May 1910:00 a.m. - in Stafford;
May 19  -  6:30 p.m. - in Potwin; and
May 20 -  4:00 p.m. - in Onaga.

Each session will last 90 minutes and you can pick the location most convenient for you. If you have a PRIDE program in your county, or just want to learn more about the PRIDE program, plan now to attend. The Kansas PRIDE program will be 40 years old in 2010 and these focus groups will help us prepare for the next 40 years.

It is important that your voice be heard. PRIDE is local people addressing local issues at the local level and the Extension agent is the local connection for K-State Research and Extension. Extension agents are encouraged to carpool with the leaders from their PRIDE communities to attend these groups. A facilitator will be meeting with the local PRIDE volunteers and Trudy Rice will be meeting with the agents. During the agent session we will discuss the connection of the PRIDE program to the local Extension office and the many different ways a PRIDE program can format itself.

STATE 4-H HORSE JUDGING CONTEST
The State 4-H Horse Judging Contest will be held on Tuesday, June 30, at CiCo Park in Manhattan. Check-in time is 8:30- 9 a.m. The contest will begin at 9 a.m.

DIVERSITY PROGRAMS OFFICE UPDATE
As another semester draws to an end, we would like to encourage everyone to reflect back on the progress that the College of Agriculture has made over the past few months. One of the Diversity Programs Office’s most successful new projects for this semester was the beginning of an online program for multicultural students on the warning and dismissal list called Diverse Tools for Success. Through this program we provide students with study tips, advice, career opportunities and events that will help them gain academic success. The main avenue of communication for the program is a newsletter that is sent out to the students every month. We look forward to expanding this program next semester to include online discussions and interactive events

We would greatly appreciate topic suggestions and volunteers to write articles for the newsletter on any subject that would be helpful for these students. COMMUNICATION MINUTE: MORE TIPS ON E-MAIL ETIQUETTE
As a follow-up to a previous Communication Minute on 'E-mail Etiquette,' here're some additional tips to help you communicate more effectively.

* E-mail is meant to be a quick way to communicate, so you should strive to reply to any e-mail that requires attention as soon as possible. Keep your e-mail organized so that important information is not buried in your inbox.

* When replying to e-mail, make sure you only send your message to recipients who need that information. You should never reply to every member of a mailing list unless your response is directed to all of them.

* A good reply should answer every question posed in the original message, as well as provide enough information to prevent the original sender from asking more questions.

* Make sure you use subject prefixes such as "Re:" and "Fwd:" where needed, if your e-mail client does not add them for you.

There are two effective ways to reply to e-mail:

1) Include the entire original e-mail in the reply, and enter your response above the original. This allows the recipient to quickly find your response, but also includes more information below for reference.

2) Include only parts of the original message and respond to each part directly below the quote. You should prefix the quoted parts with a ">." --Russ Feldhausen russfeld@ksu.edu
